How to use Abonatus

Това ръководство още не е преведено на този език, затова е показано на английски.

Abonatus runs on phones. The owner and the front desk use the app to sell passes and scan at the door; members use the same app to show their code. Nothing to install from a store, no computer at the desk.

This guide follows a morning at a small gym, screen by screen. The first part is for the people who run the venue. The second is for members: send them the link.

For the venue

For the owner, the managers and the front desk. Setting up takes about ten minutes. After that, the daily work is scanning at the door and selling passes.

1

Sign in with your email

Open app.abonatus.com on your phone and type your email address. We send you a six-digit code: type it in and you're signed in. There's no password to remember or reset.

You can also tap Continue with Google or Facebook: it's the same account as your email.

2

Open your venue

A new account starts on the member screen. Under Do you run a gym or studio?, tap Start.

Give your venue a name and check the country, currency and time zone. They decide how money is recorded and when "today" ends, and you can change them later.

3

Set your prices

Next, add what you sell. Start from one of the examples and type your price:

  • Period: unlimited entries for a number of days, like a monthly membership.
  • Visits: a number of entries within a window, like 8 classes in 30 days.
  • Single: one entry, valid on the day it's sold.

To stop selling a price, untick On sale. Passes already sold aren't affected.

Your logo, and everything under More

The venue's settings, prices, import and team are all under More, and so is this guide: How to use Abonatus. In Venue settings, add your logo: your members see it above their passes, and your team sees it on the desk. A square picture works best.

Add your team

In More → Team, tap + and add the people who work the desk by their email address. Then choose a role:

  • Front desk scans, adds members and sells passes.
  • Manager also sets prices, imports members, cancels passes and sees the takings.
  • Owner also manages the team and the venue's settings.

No invitation is sent. They open the app, sign in with that address and see the venue.

Bring in the members you already have

If your members are in Excel or Google Sheets today, there's no need to type them in. Go to More → Import from Excel and choose the file (.xlsx, .ods or .csv).

The first row must be the header: Name, Phone, Email, Pass, Start, End, Visits left, in any order. If you're not sure, download the template and fill it in.

Before anything is saved, you see every row, and what was recognised and what wasn't. Passes come in with their real dates and no payment, since they were paid before Abonatus. Members who are already on the list are skipped, so you can import the same file twice.

Add a new member and sell a pass

Go to Members → +. A name is enough. With an email, the member also sees their pass and QR code in the app.

Saving takes you straight to selling a pass. Choose the pass, the start date (today, unless you change it) and how they paid: cash, card or transfer. The amount is the price, and you can change it, for example to 0 for a pass paid before Abonatus. Then tap Take payment and activate.

Members and their cards

Members lists everyone with what they hold: valid until when, visits left, or expired. Search by name, phone or email.

Tap a member to see everything about them: their passes, their recent visits and who let them in. Tap the photo to take one with your phone. You'll see it on every scan, so nobody gets in on someone else's phone.

Let in checks them in by hand, for when they forgot their phone. The same rules apply, and the entry is marked as manual.

Members without email: a code from the desk

Some members don't use email. On their card, tap App access code. They can scan the QR with their phone's camera, or open the app and type the six characters, and they're in. No email is needed.

The code works once and is valid for 30 minutes.

Scan at the door

On Today, tap Scan at the door (or the round button in the middle of the bottom bar) and point the camera at the member's QR code.

Within a second the whole screen turns green, with their name, photo and what's left on their pass. The visit is counted automatically. A second visit on the same day isn't counted again.

The camera reads the member's code
Green: come in

When the screen turns red

Red means no, and says why: the pass expired, hasn't started yet or has no visits left; or the code is old (a screenshot), or comes from an old phone.

When you can fix the problem, the fix is right there: Sell a pass, or Single entry today. The red screen stays until you tap it, because that's when you have to say something.

Someone who isn't a member here

Sometimes a person with the app shows their code but has no card at your venue: a drop-in, or someone visiting from another venue. You see their name and two choices:

  • Add as a member: a new card, or one you already have for them (for example, from the import).
  • Single entry today: take the payment and let them in, all in one go.

Either way, their QR code works at your door from then on.

Today, at a glance

Today shows how many people came in and how many were refused, what was taken today (for managers and owners), and how many members have a valid pass. Below that is every entry at the door, with the time and the pass.

Open it from home in the evening to see how the day went.

For members

For the people who come to the venue. All you need is a phone with a browser. There's nothing to download from a store.

1

Open the app and add it to your home screen

Open app.abonatus.com. Then add it to your home screen, so your code is one tap away at the door:

  • iPhone: in Safari, tap Share, then Add to Home Screen.
  • Android: tap Install the app, or open the browser's menu and choose Install app.

It opens full screen, like any other app.

2

Sign in with the email you gave the venue

Type the email address your venue has for you, then the six-digit code we send to it. Or continue with Google or Facebook, if it's the same address.

Your passes appear on their own, because the venue has already linked them to your email. Your first sign-in creates your account, and there's no password.

3

No email? A code from the front desk

If the venue doesn't have your email, ask the front desk for a code. Scan the QR they show you with your phone's camera. Or open the app, tap I have a code from the front desk and type the six characters.

Later, add your email under your account. Then you can sign in on another phone without asking the desk again.

4

Show your code at the door

Your screen shows your QR code and your passes: what you bought, until when, and how many visits are left. Show the code at the desk.

The code changes every 30 seconds, so a screenshot sent to a friend won't get them in. It works without signal, too: your phone makes it.

Once you're in, your pass says so. You can come and go all day, and it's counted as one visit.

5

Your account, and a new phone

Tap the person icon at the top to change your name or the app's language. This guide is there too, under How to use Abonatus.

One account works at every venue that uses Abonatus: the gym, the pool and the dance class all show up on the same screen.

Changed phones? Sign in on the new one the same way. Codes from the old phone stop working right away, so a lost phone can't be used to get in.
