A small gym runs on the owner's memory: who paid this month, whose pass ran out last week, who is "paying on Monday". It works until the gym gets busy, or until the owner is on the floor with a client and nobody is at the desk.
What usually goes wrong
- Expired passes walk in. Turning a regular away is awkward, so they come in "just this once", and once becomes three weeks.
- Passes get shared. A friend borrows a card, or a photo of it, for an evening.
- Cash and the notebook disagree. At the end of the day the till and the list of sales tell two different stories.
- Nobody notices who stopped coming. A pass ends, the member doesn't renew, and the gym finds out a month later.
How Abonatus handles it
- One phone at the desk. The member shows a QR code on their phone; the desk scans it and gets a full-screen green or red with the member's name and photo. No computer, no card reader, nothing to install from an app store.
- The code can't be lent. It changes every 30 seconds and works on one phone, so a screenshot is dead by the time it reaches a friend.
- Passes the way you sell them. An unlimited month, 12 visits in 30 days, a single entry. Visits are counted at the door, and coming back the same day for a forgotten towel is free.
- Every sale is recorded where the pass is made, cash, card or transfer, with who took the money. The owner sees today's takings from home; reception sees only their own till.
- Who to call. The member list picks out those whose pass ends this week, those who didn't renew and those who paid but haven't come for two weeks. Members who sign in with their email get a reminder three days before their pass ends.
- Your peak hours in the reports: arrivals by hour and visits by day, so you know when a second person is needed at the desk.
Moving over
Your members and their current passes come in from an Excel or CSV file in one go, with their real start dates. Members without email get a six-character code from the desk and are in the app in seconds.
What it costs
Two months free during the pilot, with our help to set up. After that, one monthly price per gym, with no fee per entry and no contract for years.
